Personal data that we keep

We will gather the following data via log files

  • User ID

  • Moodle Course ID

  • Timestamp of activity

  • Action type

  • Moodle object the action was on e.g. Quiz

For students:

Students will be automatically enrolled onto Moodle courses that they are taught via a direct link with the university’s student information system. This data will  include data that has been provided as part of your student record. module, student name and student code.

The processing of data

Collected personal data are used to

  • manage access rights

  • communicate and distribute information on teaching and studies

  • learning supervision and assessment

System log data are used to

  • monitor server and data communications capacity

  • solve technical problems and misuse

Persons with permissions to access the data include

  • course teaching personnel

  • system administrators

  • contact persons named by the controller

The data are not transferred to third parties nor outside EU.

Data retention

We will only retain your personal data for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements.

At the end of each academic year a snapshot is taken and the data is stored and made available to Moodle users in a read-only format. Each Moodle snapshot is retained for 5 years from the date of capture. After this time period, the files are then destroyed.

Right of access to personal data

If a student wants to access personal data concerning his/her studies, he/she can contact the teacher on the course or dsi@ulusofona.pt.

Principles of protecting data

Systems included in Moodle are protected according to Lusófona University general principles on information security. The saved data are stored on a server to which only administrators have access rights. The data can be reached with username and password only. A user (teacher, student) has access only to those parts of the registry that he/she needs.

The server and the computers are stored in locked on-premises.

Your rights 

Under certain circumstances, you may have the following rights under data protection laws in relation to your personal data:


  • Right to request access to your personal data;
  • Right to request correction of your personal data;
  • Right to request erasure of your personal data;
  • Right to object to processing of your personal data;
